CAIRN operates as an out-of-network provider, a model we’ve chosen to ensure our clinical decisions are driven by your needs — not by insurance company mandates.
In recent years, more patients are seeking the transparency and high-level results that only a cash-based, 1-on-1 model can provide. This approach gives us the freedom to provide the exact frequency and specialized care you require, whether you are rehabilitating an injury, coming in for a performance 'tune-up,' or seeking long-term maintenance.
Financial Transparency:
No Surprise Bills: We believe in clear, upfront pricing so you can focus entirely on your goals and progress.
HSA/FSA Eligible: Most clients use their Health Savings or Flex Spending Accounts to cover the cost of care.
Reimbursement: We are able to provide detailed superbills that you can submit to your insurance for potential out-of-network reimbursement.
A superbill is a specialized clinical document that provides a detailed record of the services you received. It includes everything your insurance company requires for processing an out-of-network claim, such as:
Provider Information: Our NPI and tax identification details.
Clinical Coding: Specific diagnosis (ICD-10) and treatment (CPT) codes.
Service Details: Dates of service and total charges.
You can submit this document directly to your insurance provider along with their specific claims form for potential reimbursement. Because every insurance plan is unique, we recommend contacting your provider to verify your out-of-network benefits, as we cannot guarantee the amount of reimbursement they will provide.
Yes. To make care as accessible as possible, we offer concierge visits to your home or workplace. Because these sessions require additional time for travel and equipment transport, a concierge travel fee is applied based on your location:
Standard Concierge (within 15 mins): $80
Extended Concierge (within 20 mins): $105
Distances beyond 20 minutes are considered on a case-by-case basis. This ensures you receive the same 1-on-1, Doctor-led expertise provided in our clinic, delivered directly to your door.
When you book a session, that time is reserved exclusively for you. To ensure we can provide the highest level of service to our entire community, we require 24 hours' notice for all cancellations or rescheduling.
Single Visit & Initial Evaluation Policy:
Late Cancellation/No-Show: Appointments canceled or rescheduled with less than 24 hours' notice will be charged the full amount of the scheduled service.
Special Circumstances: We understand that emergencies happen. Exceptional circumstances will be considered on a case-by-case basis.
Membership Policy:
Members receive the same 24-hour notice requirement.
A late cancellation or no-show will result in the forfeiture of that session from your monthly membership total.
No, you do not need to see a physician or obtain a prescription/referral before starting physical therapy. Virginia is a Direct Access state, allowing you to begin physical therapy directly. Twila, a Doctor of Physical Therapy, will conduct a thorough examination during your first visit to determine if physical therapy is appropriate for you or if a visit to your physician or another medical provider is advisable before continuing.
Note, if you have a prescription or referral for physical therapy, please bring it to your first appointment. We will gladly communicate and collaborate with your physician or other healthcare providers throughout your plan of care to ensure you receive the best treatment from your multidisciplinary medical team.
Not at all. While dry needling is a highly effective tool for accelerating progress, it is never a requirement. We believe in a collaborative approach to your care. If you aren't comfortable with needling, we utilize a wide range of other evidence-based manual therapies and movement strategies to achieve your goals.
